Expo Vida Consciente: Celebrating the Lion’s Gate

These Terms and Conditions govern the rental and use of exhibit space for Expo Vida Consciente: Celebrating the Lion’s Gate. By reserving, contracting for, or occupying an exhibit booth, the Exhibitor acknowledges and agrees to be bound by these Terms and Conditions, which constitute a legally binding agreement between the Exhibitor and the Event Organizer.
 

1. Reservation and Cancellation Policy

To secure a booth reservation, the Exhibitor must submit a non-refundable deposit equal to fifty percent (50%) of the total booth fee within three (3) days of making the reservation.

If the Exhibitor cancels at least twenty-one (21) days prior to the opening date of the event, any amount paid in excess of the initial deposit will be refunded.

Cancellations made fewer than twenty-one (21) days before the opening date of the event are non-refundable, and all payments received will be retained by the Organizer.
 

2. Booth Assignment and Eligibility

The assignment, transfer, or subleasing of exhibit space is strictly prohibited without the prior written consent of the Organizer.

Expo Vida Consciente reserves the right to approve or deny the participation of any company, product, or service based on the nature and values of the event.

The display, distribution, or sale of any illegal substance or product prohibited by applicable law is strictly forbidden. Violation of this policy may result in the immediate removal of the Exhibitor from the event without compensation or refund.
 

3. Standard Booth Package

Each exhibit space includes:

  • One booth in the location and dimensions indicated on the official floor plan.

  • One 6-foot draped table.

  • Two chairs.

  • One wastebasket.

  • Four exhibitor badges for booth staff.

Additional exhibitor badges are available for USD $40 each and are valid for both days of the event.
 

4. Additional Equipment and Services

If additional furniture or services are required, including tables, chairs, or other equipment not included in the standard booth package, Expo Vida Consciente will provide the necessary information for the Exhibitor to arrange these items directly through the Hilton Hotel.

Exhibitors may bring their own display and promotional materials at no additional charge, provided they comply with these Terms and Conditions.
 

5. Booth Installation and Display Regulations

Aisles, exits, and common areas must remain clear and unobstructed throughout the event.

All booth structures, decorations, and displays must remain entirely within the Exhibitor's assigned booth space. Signs, easels, banners, or promotional materials may not extend into aisles or common areas.

Booth furnishings and display materials must not block emergency exits, fire equipment, or access routes.

The maximum permitted display height is eight (8) feet along the back wall and three (3) feet on the side extensions.
 

6. Distribution of Promotional Materials and Sound

The distribution of samples, brochures, flyers, or other promotional materials is restricted to the Exhibitor's assigned booth space.

The use of microphones, speakers, music, or any amplified sound must be kept at a reasonable volume that does not interfere with neighboring exhibitors or diminish the experience of attendees.
 

7. Facility Restrictions

Painting, drilling, nailing, stapling, screwing, taping, or attaching materials directly to walls, columns, ceilings, hotel property, or pipe-and-drape structures is strictly prohibited.

The use of adhesive decals or stickers is not permitted.

Glitter or similar materials that may damage or contaminate carpeted areas are also prohibited.

At the conclusion of the event, Exhibitors are responsible for leaving their booth area in a clean and orderly condition. The Organizer reserves the right to assess additional cleaning charges or deny future participation for failure to comply.
 

8. Security and Liability Insurance

While general event security will be provided, neither Expo Vida Consciente nor the Hilton Hotel shall be responsible for any loss, theft, or damage to the Exhibitor's merchandise, equipment, or personal property.

Exhibitors are strongly encouraged to obtain their own general liability and property insurance coverage for the duration of the event, including move-in and move-out periods.

The Exhibitor agrees to indemnify and hold harmless Expo Vida Consciente, its organizers, staff, volunteers, and the Hilton Hotel from and against any claims, damages, liabilities, or legal actions arising from the Exhibitor's participation in the event.
 

9. Property Damage

The Exhibitor shall be financially responsible for any damage caused to the Hilton Hotel, the event facilities, or event property as a result of the Exhibitor's activities.

All promotional materials, decorations, and displays must be removable without causing damage to walls, ceilings, mirrors, structures, or any other part of the venue.
 

10. Fire and Safety Regulations

Exhibitors must comply with all applicable federal, state, and local fire and safety regulations.

The use or storage of flammable liquids, combustible gases, explosive materials, or other hazardous substances is strictly prohibited.

Open flames of any kind, including candles, oil lamps, incense, or similar devices, are not permitted.
 

11. Licenses and Permits

Each Exhibitor is solely responsible for obtaining and maintaining all licenses, permits, and authorizations required by federal, state, and local authorities for the operation of its business.

Exhibitors who distribute, sample, or sell food, beverages, or edible products must comply with all regulations established by the Los Angeles County Department of Public Health, including obtaining a Temporary Food Facility (TFF) Permit when required.

Compliance with these regulations is the sole responsibility of the Exhibitor.
 

12. Force Majeure

If the event cannot be held, in whole or in part, due to circumstances beyond the reasonable control of the Organizer, including but not limited to natural disasters, fire, war, governmental action, public health emergencies, or other acts of God or force majeure, Expo Vida Consciente reserves the right to retain all or a portion of payments received to offset expenses and contractual obligations already incurred.
 

13. Right of Admission and Removal

Expo Vida Consciente and/or the Hilton Hotel reserve the right to deny participation or require the immediate removal of any Exhibitor whose conduct, activities, products, or services fail to comply with these Terms and Conditions or are deemed inconsistent with the mission, values, or spirit of the event.
 

14. Final Provisions

Any matter not specifically addressed in these Terms and Conditions shall be determined solely by the management of Expo Vida Consciente, whose decision shall be final and binding upon all parties.
